SPECIAL GENERAL BODY MEETING (GBM)

TO BE HELD ON 11 SEP 2022

 

1. A Special General Body Meeting (GBM) was scheduled on 21 August 2022 for considering two very important points which need immediate attention and their delay can only lead to further deterioration of the state. Members, probably did not realize the importance, hence only 17 members only attended the meeting on 21 Aug 2022 and thus management was forced to postpone it to 11 Sep 2022 with the consent of members who were present. It was decided that a comprehensive brief on the two issues be prepared and sent to all along with posting on the society website as well as WhatsApp Group. The brief of two important points are given below:-

(a) Refurbishment of ACBs, MCCBs, MCBs, Panel Boxes and Associated accessories. 

(i) These equipments are almost 30 years old and frequent faults are on increase and expenses have to be incurred regularly on repairs. In addition the supply shut down has to be taken for repairs and  it is up to even 6 hrs or more availability of items are very difficult to get, leading to stop gap arrangements.

(ii) With the help of Sh Manoj Shrivastava, XEN and CWEs Office a thorough survey has been carried out by  experts handling these equipments. A number of meetings and detailed discussion have been held by the MC incorporating Col Surat Singh and Col Surinder Kumar with the experts.

(iii) Accordingly, proposal from various firms were called for and three firms have  recommended  complete change over and one firm has recommended repairs and overhaul. The first proposal is for 26 Lacs approx and the second firm for 16 Lacs approx.

(b) Civil Works repair to stairs, Chajjas, Blockwell shafts etc.

(i) Beams are chipping off in stairs, chajjas at block entrances on both sides  are falling apart, central well shafts housing the water and sewage pipes have  their plaster peeled off excessively and exposed bricks are wearing  out.

(ii) These works were advertised in national papers. A detailed survey of    the extent of work required was carried out and a financial proposal has been received. Stairs well shafts and chajjas need immediate attention and delaying is only going to aggravate the problem. The cost of these three works is 30 Lac approx.

2. Since the quorum was not complete, the members present were apprised of the ground realities, but a decision could not be taken.

3. It is, therefore, requested that maximum members in strength attend the special GBM on 11 Sep 2022 and actively participate in the discussions. Comprehensive brief in para 1(a&b) above should be sufficient enough to understand the importance of undertaking these tasks in the interest of upkeep of central services.

4. It may not be out of place to mention that all the central services/amenities were part of the project and have been included in the cost of flats while calculating it. Thus  as and when repairs have to be undertaken, they have to be funded by the members on equal share basis. As of now, the approx cost of the two projects works to be 55 Lac approx, which will work out to be Rs 17000/- per head. The management can pay about Rs 15 Lac from the common fund and balance of Rs 40 lac (Rs 13200/-) each have to be contributed by all before the work can commence. Otherwise be prepared for frequent power breakdowns and accelerated deterioration of the conditions a per para 1(b)

5. Once the Special GBM approves the proposal in principle, two committees as nominated by GBM will negotiation with the contractors to understand the details and reduce the overall cost to whatever extent it can be done.

6. We request the tenants  to apprise the owners and mail this to them
